Privacy Policy

We take your privacy seriously - here's the straight talk on how we handle your info

Last Updated: October 28, 2025

Overview

Look, we get it - nobody actually reads these things. But here at CinderVault, we're pretty straightforward about stuff. This privacy policy breaks down what information we gather when you train with us, why we need it, and what we do with it.

Bottom line? We're not gonna sell your email to some random supplement company or spam you with junk. We collect what we need to run a solid gym and keep your fitness journey on track. That's it.

What Info We Collect

When you sign up or book sessions with us, we'll ask for the basics:

  • Name and contact details (email, phone number)
  • Mailing address - gotta know where to send those membership cards
  • Date of birth - mainly for age verification and class eligibility
  • Emergency contact info - safety first, always
  • Payment and billing information - can't run a gym on good vibes alone

To keep you safe and help you crush your goals, we need some health-related stuff:

  • Medical history and current health conditions
  • Injury history - we don't wanna aggravate old problems
  • Fitness goals and current fitness level
  • Body measurements and progress photos (if you're cool with it)
  • Workout logs and performance metrics
  • Nutrition preferences if you're doing our meal planning service

Note: Health info is super sensitive, so we guard this stuff extra carefully.

When you visit our website or use our systems, we automatically pick up:

  • IP address and browser type
  • How you navigate through our site
  • Check-in times at the gym (through our access system)
  • Class bookings and attendance records
  • Communication preferences

How We Use Your Info

We're not hoarding data for fun. Here's what we actually do with it:

Service Delivery

Managing your membership, scheduling classes, processing payments, and basically making sure you can train without hassles.

Progress Tracking

Keeping tabs on your workouts, strength gains, and overall progress. Coaches use this to adjust your programming.

Communication

Sending you class updates, schedule changes, gym announcements, and responding to your questions.

Safety & Security

Protecting our facility, preventing injuries, and having emergency contacts ready if needed.

Improving Our Services

Figuring out what classes are popular, what equipment needs replacing, and how we can make things better.

Legal Compliance

Meeting Canadian privacy laws and keeping records we're legally required to maintain.

Who We Share Info With

We're pretty selective about who gets access to your data. Here's the short list:

Our Team

Trainers, coaches, and front desk staff see what they need to do their jobs. Your personal trainer knows your fitness history, but the front desk doesn't need to see your medical details.

Payment Processors

We use secure third-party services to handle credit card payments. They get what they need to process transactions, nothing more.

Service Providers

Things like our gym management software, email service, and cloud storage. These companies sign contracts promising to protect your data.

Legal Requirements

If the law says we gotta hand over information (like a court order), we'll comply. But we'll fight it if it seems sketchy.

Emergency Situations

If you get hurt and need medical attention, we'll share relevant health info with first responders. Pretty obvious, but worth stating.

We DO NOT: Sell your data to third parties, share it with advertisers, or use it for anything outside of running CinderVault.

How We Protect Your Data

We take security seriously - probably more than we take our own rest days. Here's what we do:

  • Encryption: Your data's encrypted both when it's stored and when it's being transmitted. Like putting your info in a locked safe before sending it through a locked tunnel.
  • Secure Servers: Our systems are hosted on secure Canadian servers with regular security updates and monitoring.
  • Access Controls: Staff only see what they need. We use passwords, two-factor authentication, and role-based access.
  • Regular Backups: We back up data regularly so nothing gets lost if systems crash.
  • Physical Security: Paper files with sensitive info? Locked cabinets in restricted areas.
  • Staff Training: Everyone on our team gets privacy training. They know what's at stake.

Real talk: No system's 100% bulletproof. We do everything we can, but if there's ever a breach, we'll let you know ASAP and tell you what happened.

Cookies & Tracking

Our website uses cookies - not the delicious kind, unfortunately. These are little files that help the site remember you and work properly.

Essential Cookies

Keep you logged in, remember your cart, basic stuff the site needs to function.

Analytics Cookies

Help us understand how people use the site so we can make it better. Anonymous data only.

Preference Cookies

Remember your settings and preferences for a smoother experience.

You can disable cookies in your browser settings, but some parts of the site might not work right. Your call.

Your Privacy Rights

Under Canadian privacy law (PIPEDA for the nerds out there), you've got rights. Here's what you can do:

Access Your Data

Wanna see what we have on file? Just ask. We'll show you everything we've got (might take a few days to compile it all).

Correct Your Data

Spot something wrong? Let us know and we'll fix it. Email changed? Address different? We'll update it.

Delete Your Data

Want out? We'll delete your info when you cancel your membership (except stuff we legally have to keep for accounting or legal reasons).

Opt Out of Marketing

Don't wanna get our emails about new classes or promotions? Hit unsubscribe or tell us. You'll still get important stuff like billing notices though.

Data Portability

Moving to another gym? We can export your workout history and progress data in a format you can take with you.

To exercise any of these rights, shoot us an email at info@cindervault.info or call (604) 555-7823. We'll get back to you within 30 days.

Privacy for Minors

We offer youth athletic training programs, so we work with people under 18. Here's how that works:

  • Anyone under 18 needs a parent or guardian to sign them up
  • Parents provide consent for us to collect and use their kid's information
  • Parents can access, review, and request deletion of their child's data anytime
  • Youth athletes under 16 don't get added to our marketing emails - parents might, but kids won't
  • We only collect what's necessary for training and safety purposes

If you're a parent with questions about your kid's data, reach out to us directly.

Changes to This Policy

We might update this privacy policy from time to time - laws change, we add new services, technology evolves. When we make changes, we'll:

  • Post the updated policy here with a new "Last Updated" date
  • Send an email to active members if the changes are significant
  • Post a notice at the gym for a couple weeks

Keep checking back occasionally, especially if privacy stuff matters to you. Your continued use of our services after changes means you're cool with the updated policy.
